Background of department/role

The role of Operations Officer – Employability and Placements provides administrative and operational support for all placements activity and employability initiatives Faculty-wide. The post will play an important part in student recruitment and conversion activities through the promotion of Faculty placements and employability opportunities at institutional events such as Answers and Applicant Days. The successful candidate will be key to the Faculty’s aim to grow this area of work, encouraging increasing numbers of students to take advantage of the placement opportunities and employability activities that exist, as well as developing the network of external providers and enhancing the placement opportunities that are currently available  

The role is part of Faculty Operations which comprises two teams; Recruitment, Employability & Events and Finance & Resourcing. These teams play an integral role in supporting academic Schools in creating an environment for student success, through the timely delivery of operational processes, including but not restricted to: recruitment and conversion activities such as course-specific conversion communications and Faculty social media; supporting / facilitating recruitment events such as Answers and Applicant Days;  work relating to Transition, Orientation and Induction (TOI) such as coordination of welcome week sessions; procurement of goods and services, managing receipt of Faculty income; responsibility for logistical arrangements re-staff travel and student trips; administrative and operational support for Faculty placements and employability activities. The team is focused on improving the efficiency and effectiveness of service delivery, continuously identifying opportunities for process improvement and growth of Operations work within the Faculty 

The role holder will deliver a timely and accurate administration service in line with University processes and regulations and external stakeholder requirements, They will work proactively within the wider Operations Team led by the Team Leader (Recruitment, Employability and Events) and Faculty Manager (Operations) to ensure the delivery of streamlined, effective and timely processes in relation to their areas of responsibility.

The Person

Educated to GCSE standard or an equivalent qualification, to be successful in this role you will have experience of working to tight deadlines and balancing competing priorities within a busy environment.

Well-developed skills in Microsoft Office programmes (Word, Excel, Outlook) are essential, as is an ability to build positive working relationships across a variety of stakeholder groups and a commitment to an outstanding student, staff and external provider experience. Ownership of key tasks and processes is a requirement of the role so candidates are expected to be proactive, self-motivated and able to manage a complex workload. Supporting the delivery of placement preparation sessions and presenting placement opportunities to prospective applicants is a requirement of the role so some experience of delivering content to an audience would be desirable.
      
How will you work?

We are committed to supporting flexible methods of working wherever possible and this role is hybrid. Campus attendance will vary on a day-to-day basis and across the year but must purposefully align to the needs of our students, staff, and stakeholders.

It is expected that there will be a relatively even balance between time spent on and off campus; but in most cases the work location will be determined by the service required or the tasks/activities being undertaken.

Working pattern as standard is three days in office at the North Holmes Road main Canterbury campus, two from home with specifics re-days to be determined between successful candidate and line manager at the point of offer. All IT equipment required to work successfully as a hybrid, flexible and connected member of the Faculty Operations Team will be provided by the institution.
