Winter Shelter Project Coordinator
We are currently seeking a Winter Shelter Project Coordinator to join a client on a fixed-term two-year contract. Reporting to the Homeless Support Service Manager, the successful candidate will be responsible for managing the smooth running of the winter shelter project. The role requires flexibility in working hours, including some evenings and weekends during the winter shelter period, and is a part-time role of 30 hours per week with a salary of £24,000 pro rata.
The Role:
As a Winter Shelter Project Coordinator, you will be at the heart of a new initiative that provides immediate relief, hope, and transformation to some of the most vulnerable people in our community. To be successful in this role, you will need to work independently, make responsible and well-judged decisions, and have experience managing small projects involving volunteers, planning, and scheduling of people, materials, and equipment. You will also need to manage and develop staff and have the ability to manage internal conflict.
Key Responsibilities and person specification:
• Develop and maintain project plans for the Winter Shelter program.
• Identify what data to collect and set up systems for recording.
• Ensure adequate records are kept by Co-ordinator, staff, and volunteers.
• Update/develop policies and procedures.
• Ensure all aspects of risk assessment, fire safety, and food hygiene are properly managed and scrutinised.
• Identify and approach a suitable venue to host WS to ensure the period of the shelter scheme (December – March) is covered.
• Secure agreement for the use of the venue.
• Complete rota for each day of the week, including Christmas week.
• Identify and maintain the database of local volunteers and venue coordinators to ensure that every night is covered.
• Recruit and supervise venue coordinators who will be instrumental in the day-to-day running of the shelter.
• Have regular communication with volunteers, particularly venue co-ordinators.
• Work with the Homeless Support Service Manager to ensure that all staff, venue co-ordinators, and volunteers are adequately trained.
• Provide a day-to-day management function within the charity as required by the Homeless Support Service manager.
• Plan, arrange and deliver training sessions with volunteers and venue coordinators and publicize these events.
• Produce material for all training and evaluate the sessions – reviewing content, timing, and material of all sessions.
• Develop a procedure for registration of volunteers and ensure all volunteers are appropriately trained and referenced where necessary.
• Be on-call for queries or issues that arise.
• Produce an on-call rota to ensure support is available to coordinators during evening opening hours.
• Source and arrange the provision of health and wellbeing services for the Winter Shelter period.
• Work with Rough Sleeper Co-ordinators to ensure pathways out of homelessness for winter shelter guests are established, attending multi-agency meetings as appropriate.
• Attend Housing Justice Forum meetings.
• Provide regular update reports to homelessness partners by email or RSI meetings.
• Maintain an awareness of the accounting/audit system for WS finances for the HSS manager.
• Liaise with the HSS manager on project spend.
• Get volunteers to provide feedback on training sessions.
• Get feedback from volunteers and guests on WS experience, including suggestions for future development – through surveys and focus groups.
• Produce a financial report at the end of the WS period.
• Produce an end-of-project report.
• Work as part of the team of HSS staff and volunteers and assist with the general office support at all times to ensure the quality of service is maintained.
• Have full awareness of policies and procedures and implement them in all work activities, with particular focus on Equality and Diversity, Health and Safety, and Safeguarding.
• Demonstrate continually developing knowledge and skill for the benefit of the Homeless Support and Winter Shelter
