Planning Administrator (FT/PT) - Based in Ashford, Kent (Head Office)
As a Planning Administrator, your role will be to manage all incoming customer work requests. You’ll work closely with consultants, developers and the sales team to keep projects on track and manage conflicting priorities. The primary role will be to maintain schedules and capacity planning so that as new tasks are received, they are correctly assigned to the right person and planned accordingly.
The job will be based at our Ashford head office and at least 20 hours per week.
CRM Planning Administrator
Full task management responsibility for the implementation of all new clients
Ensure that new requests don’t fall outside of the statement of work
Delivery of project on budget and within agreed timelines
Precise and accurate project management reporting to the Managing Director
Providing regular updates to the team and ensuring that all phases of implementation are processing as planned
Organising and chairing project meetings with relevant team members.
Coordinating business processes and work-flows
PERSON SPECIFICATION
The ideal candidate will be able to demonstrate the following:
Experience working with a CRM platform (ideally HubSpot or Pipedrive)
Proven track record of liaising with a wide range of colleagues and building and maintaining effective working relationships
Excellent written, verbal and interpersonal communication skills, with excellent reporting capabilities on complex projects.
Ability to prioritise and adapt to new situations while maintaining the highest standards of accuracy
As the Planning Administrator, you’ll often complete various administrative tasks. This may include tasks related to specific projects, such as setting up meetings between clients and the team or updating the project programme (Productive). The Planning Administrator may also perform administrative tasks related to business operations, such as assisting the invoicing team. Some specific duties of a Planning Administrator may include:
Collecting data and tracking project success metrics
Developing training materials and project strategies
Monitoring budgets and other financial documents
Updating and using the risk and opportunity registers to mitigate financial risks
Scheduling meetings to coordinate project work and providing status updates
Tracking, analysing and communicating project liabilities and opportunities.
Creating project timelines and team schedules
Overseeing the progress of a project
