The Human Resources (HR) Unit has responsibility for the full range of HR activities for Cygnet Healthcare including HR strategy, HR Administration, Payroll, Recruitment, Learning and Development, Employee Relations and general staff and management support.

Main purpose of the Job:
To provide first class support to the Head Office Finance unit and ensure that quality standards are met, communicating effectively with team members, Managers, employees and prospective employees.

Generic Responsibilities
- Provide a consistent and professional HR service.
- Deliver a service that enables managers to assume their responsibility for all aspects of people management issues.
- Work collaboratively with the HR team to ensure an integrated approach to the development and delivery of HR services.
- Contribute ideas and suggestions to enhance HR service delivery.
- Promote equality and diversity as part of the culture of the organisation.
- All roles will be expected to undertake any other appropriate duties as required by the Finance Director or Financial Controller.
- Maintain a high level of confidentiality at all times.

Role Specific Responsibilities
Lead responsibility for the administrative stages of a number of key processes as directed by Central HR. The number and allocation of lead responsibilities will change from time to time according to business needs, development requirements and team cover.

Recruitment
- Liaison with the central recruitment team and Managers to ensure the recruitment process is efficient, potential candidates are provided with a very positive experience and the process is in line with the corporate recruitment policy.
- To support the HR processes for all new starters including issuing of contracts, right to work documentation, ID, new starter documentation, inputting of data onto the HR System and ensuring accurate details are sent to the departments to confirm employment and meet regulatory requirements. Liaise with line managers to confirm new employee start date.
- To provide Managers support with the on boarding process.

HR Administration
- Answering staff queries regarding HR matters, escalating issues to HR Business Partner/Advisor where necessary.
- Provide HR policy and process support/advice to managers, ensuring training is delivered to managers where necessary.
- Maintenance of personnel files to ensure all starters and leavers paperwork and contractual amendments are processed effectively including secondments, annual leave calculations, job changes and pay changes, this involves creation of appropriate documentation, payroll notification and updating the HR system.
- Ensuring that sickness and other absence is logged accurately on the HR system and preparing associated reports in connection with sickness / company sick pay and SSP.
- Support of company maternity and paternity processes, including meetings with staff and communication of entitlement, correspondence with staff and communication with finance/payroll.
- Logging of grievance, disciplinary and appeals, assisting with the production of appropriate letters.
- Responsible for the accuracy of data on the HR systems and Training databases
- Maintain the organisational chart
- Run regular reports on the HR System for the Finance Controller.
- Coordination of the appraisal process and maintenance of HR data in respect of this.
- Conduct a bi monthly audit of the HR database, ensuring all right to work, DBS and pay information is correct. A monthly audit of the HR compliance and remind staff to complete updates as necessary.
- Participate in training as appropriate, ensuring annual e-learning is up to date.
- Assist on any ad-hoc tasks as required by the department.

Health and wellbeing
- To manage the vaccination processes for staff, ensuring new staff are compliant with vaccination requirements and that existing staff update their vaccinations as appropriate.
- Ensuring all occupational health pre-employment checks are completed and necessary actions taken.
- Case management of long term sickness absence ensuring line management are prompted to action at appropriate trigger points, e.g. Return to work interviews, occupational health referrals and back to work meetings.
- Act as unit HR link for health and wellbeing and company benefits, e.g. Employee assistance programme, rehabilitation service, maternity, health care, pension and life cover information.
