Job Title: Procurement Administrator
Contracted Hours: 37.5 hours Full Time - Monday to Friday
Salary: £20,500 per annum

What does the role look like?

As part of our team at William Harvey Hospital, your role is to provide comprehensive administrative, clerical and typing support to the Procurement Service Team. This will be by working in a team based administrative service providing support for each other and ensuring continuity of service and to act as a point of liaison between Management, other staff and 3rd parties.

Key responsibilities will include:


Act as a point of contact on behalf of the Management Team and deal effectively and courteously with all enquiries from other departments within the organisation and its clients.
Note take and type up meeting minutes.
Transcribe from audio, copy type or shorthand (where appropriate), all correspondence as required by the Procurement Team, ensuring layout, spelling, grammar and punctuation is consistent and correct.
Maintenance of the filing and computer systems and relevant departmental databases, ensuring accurate data entry of all administration, including the efficient management of records
Manage holiday planning and booking for the procurement team
Plan and facilitate rota management and overtime/agency requests across the departments
Review completion of due diligence documentation and detail follow up required
Organise own work schedule and adapt as required to meet commitments of others within the agreed timescales and escalate, where not possible.
Undertake various clerical duties to ensure the smooth running of the office, including sorting post, photocopying, laminating, sending and receiving e-mails, answering telephone calls and dealing with enquiries, redirecting and relaying information as necessary


About you


We are looking for candidates with the following skills and attributes:
Effective organisation and planning skills
Strong attention to detail
Good Time Management
Can work well under pressure
Competent in the use of Microsoft Office tools
Ability to work both independently and as part of a team
GCSE’s in Maths and English or Equivalent (other qualifications are desirable)
