RENTAL SALES ADMINISTRATOR - FULL TIME

Based Ashford, Kent
42.5 hours per week – Monday to Friday with Saturdays on a rota basis (day off in week in lieu)
Business hours 8:00am – 5:30pm
Salary: £20,000 per annum
Holiday entitlement: 30 days per year including Bank Holidays
Uniform provided

Services offered include the self-drive hire of a range of vehicles including cars, vans and minibuses, for both short and long term hire. We also operate a busy garage workshop alongside our Rental operation.

ABOUT THE ROLE

OBJECTIVES:

To deal with all customers and callers to our Rental Desk in a friendly and professional manner, whether in person, over the telephone or via email, whilst supporting the operations of the Rental Office by providing an efficient administrative service.

MAIN DUTIES, KEY TASKS & RESPONSIBILITIES:

• To meet customers and visitors and deal with incoming enquiries in person, by telephone and by email, converting enquiries into bookings and ensuring that bookings are managed efficiently to maximise the utilisation of fleet vehicles;

• To book vehicles in and out of the computerised ProHire software system (training will be provided), ensuring that hirers are qualified as to their suitability to hire;

• To safely and efficiently advise hirers in the use and controls of the vehicle/equipment being hired;

• To look for opportunities to promote and sell other services to customers (e.g. rental/workshop/bodyshop/used vehicle sales/contract hire/vinyl graphics etc.);

• To manage the hire fleet effectively, liaising with our Workshop to schedule routine servicing, maintenance and MOTs for both our Short and Long Term vehicles;

• This job description is in no way exhaustive and it should be assumed that the post holder may be requested to carry out any other duties, as required, to enable the whole team to work as effectively as possible.


EXPERIENCE REQUIRED

• Experience gained within a customer facing role is essential;
• Experience of using computerised database software systems is desirable (training on the organisation’s industry specific systems will be given);
• An understanding of the Motor Industry would be an advantage;
• A full, clean EU/UK Drivers licence is essential.

• Good customer service skills and administrative expertise;
• Fast and accurate data entry skills, with a keen eye for detail;
• Ability to work under pressure, and alone when necessary;
• A helpful nature and a willingness to sort out customers’ requirements;

• Common sense;
• Confidence to take decisions;
• Willingness to learn and to assist others without waiting to be asked.
