Estates Business Administrator
Salary circa: £22,000 - £25,000 gross per annum

Howletts & Port Lympne Wild Animal Parks, in conjunction with the Aspinall Foundation, are a charity-based organisation committed to protecting rare and endangered animals from extinction through captive breeding and reintroduction programmes. The parks are home of one of the world’s most prized wild animal collections and are one of the biggest visitor attractions in Kent.

Based at Port Lympne Hotel & Reserve, this full- time post is 40 hours per week, reporting to the Port Lympne Site Services Managing. In this role you will be responsible for coordinating the work carried out by the various teams and specialists who work for the department, overseeing asset management, managing contracts with third parties, overseeing regulatory compliance, and carrying out financial transactions and budget monitoring. You may also be required to work at Howletts Wild Animal Park on occasion.

The main duties of the role will include:
• Coordinating routine work scheduled by each team, ensuring that they reflect organisational goals, and are properly resourced.
• Using available data to support improved performance monitoring. This may include setting up systems to provide management information in support of service level agreements.
• Commissioning the use of contractors and ensuring contractors deliver services in accordance with the agreed clauses within the contract.
• Developing improved resource planning across the department.
• Carrying out budget transactions on behalf of the Site Services Manager, providing regular financial forecasts against the ongoing monthly spends and escalating matters of potential financial risk.
• Creating an accurate asset register, including data from the software used by the vehicle workshops enabling any regulatory timelines, such as MOT renewals to be met and the total predicted lifecycle costs of assets to be calculated.
• Oversee regulatory compliance, ensuring all internal policies relevant to the department are reviewed in a timely fashion, and are kept up to date with changing legislation.

The Person:
• You must be familiar with the use of asset management registers, planning and managing the total life cycle of assets, including the ability to identify potential asset disposal income opportunities.
• You will have knowledge of setting up, and managing contracts negotiated with third parties, including procurement processes. As well as knowledge of monitoring contractual compliance.
• It is essential that you have a good understanding of accounting and budget management, with experience on small to medium sized projects.
• You will also need strong IT skills, particularly the use of spreadsheets.
• Experience of administering performance improvement and professional development programmes is also beneficial.
• You will also have a working knowledge of risk management and health and safety legislation, including an ability to recognise and assess risk.
• You must possess good all-round verbal and written communication skills and have strong interpersonal and negotiating skills.
• A full driving licence is also essential for this role.
