We are currently looking for an administration assistant to join our very busy central services team based in our Maidstone office. This is a great opportunity for someone to be part of a well-established Kent law firm.
Although previous experience in general office administration is not essential candidates must be able to demonstrate a keen interest to work in a professional services environment. This is a varied and interesting role but at times can be demanding with the volume of work. For this reason we are looking for someone who can remain calm under pressure and produce accurate work to tight deadlines. Additionally a large part of the role will be client facing so excellent communication skills and the ability to deliver consistently outstanding service is essential.
This is a full time role, Monday to Friday working on rota shifts of either 08.30 - 16.45 or 09.45 - 18.00 to assist with reception cover duties.
Main responsibilities:
Under the supervision of the office manager to ensure post room work is completed accurately and in a timely manner
To deal with all incoming and outgoing post in a prompt and effective manner
To undertake daily photocopying
To undertake daily delivery duties
To ensure incoming faxes are distributed to the relevant personnel without delay
To assist with other general administration duties (typing, plans, library, stationery stock control, etc.)
To undertake reception duties, as and when required
Dealing with incoming calls
To manage requests with regards to wills, deed and file deliveries
Regular attendance at our off site-storage facility to collect client deeds and documentation - car owner with a full UK driving license is essential
To assist with general client hospitality (either external or in-house events). Some events may be out of normal office hours
To ensure the staff kitchen is kept stocked and well organised
To manage all storage areas ensuring they are kept organised and up to date
