CUBO is the professional association for senior managers of university commercial and campus services. We have around 275 members working at 95 higher education institutions in the UK and Ireland. Our staff are located in different parts of the UK and operate virtually through regular calls, skype meetings and at least four physical meetings per year. The CEO is based in Canterbury and the newly created role of Administrator will be located in the same area.

We need an experienced, energetic self-starter with superb organisational and IT skills who likes variety and can deal with detail and pressure, especially around conference time. You’ll be working remotely but very much part of a small, friendly team looking after a unique professional association. You’ll need to embrace digital administration – we use association management and project management software – and be empathetic, service-oriented with a positive attitude.

Salary: Ca. £23,000 per annum

Contract: Fixed term to 31 December 2020, full time 37 hours per week

Line manager: Primary – CEO; Secondary - Marketing & Operations Managers

To provide a high level of administrative support across membership, marketing, events, partnerships and operations to a small and dynamic professional association in the university sector.


Membership & Operations:

o Maintain up-to-date member records in a cloud-based association management system (YourMembership)

o Post documents to members’ online resource libraries and group pages

o Maintain up-to-date event listings, liaising with our training partner, group coordinators and other contacts

o Process new membership applications

o Issue invoices, monitor and chase payments

o Organise meetings, conference calls and travel

o Manage general enquiries, dealing with or referring them as appropriate

o Keep software and other subscriptions up-to-date

o Maintain orderly filing in MS Sharepoint

o Generate reports from the CRM and accounts software as required

o Attend and minute meetings as required

o General and other administrative duties as required

Marketing, Events & Partnerships:

o Maintain accurate corporate partner records

o Process applications and renewals

o Organise delivery of corporate partner benefits (web listings, etc)

o Assist with digital marketing communications

o Make simple updates to the website

o Share CUBO news and events via CUBO social media channels

o Coordinate design, print, copywriting, web programming as required

o Support the annual conferences and smaller group events, liaising with event partners, preparing and dispatching materials, sending reminders, checking attendee lists, proofreading programmes, etc


Substantial administrative experience, preferably in a related sector

Regular user of digital technology including a database/CRM

Administration across marketing & sales, events and finance

Formatting business communications – reports, agendas, minutes of meetings

Dealing with people at all levels


Knowledge of standard office practices and procedures

Articulate, with excellent all-round communication skills

Outstanding organisational and administrative skills

Meticulous and accurate

Advanced MS Office (Word, Excel, PowerPoint)

Proficient in/with an aptitude for digital software solutions

Knowledge of or willingness to learn HTML

Ability to work under pressure, prioritise competing demands
