Clark James Recruitment are working with a leading firm of Independent Financial Advisors that are looking to compliment the existing team with an Office and Administration Manager.

Role

Responsible for the performance, integrity and security of the back office database (Iress) formerly 1st Adviser Office. Overall duties will include maintaining, planning, development and troubleshooting. You will liaise and report to the Compliance and Operations Manager and the Partners. You will liaise with the external IT consultants. You will manage an administration team of 3 and liaise with 2 Accounts members and 1 Paraplanner.

You will be responsible for the way the firm manages, organises and stores and accesses its information.

Duties & Responsibilities

Ensure the database and admin process incorporates the following principles:-

Data remains consistent across the database;
Data is clearly defined;
Users access data concurrently, in a form that suits the firm’s needs;
Data is processed consistently and compliantly in accordance with the firm’s processes and procedures;
Oversee and manage admin workflow;
Support all IFA activity;
Maintain service levels according to office procedures;
Provide information and documentation within agreed timescales;
Communicate effectively with clients, life offices and other members of the Team;
Develop and maintain working relationships with product providers.
Other duties

Establishing the needs of users and monitoring user access and security;
Monitoring performance and managing parameters to provide adequate management information reports on a monthly basis;
Installing and testing new versions of the back office system;
Maintaining data standards including adherence to the Data Protection Act and FCA regulation;
To train and develop all staff and new recruits on the back office system;
Ensuring that storage, archiving, back-up and recovery procedures are functioning correctly by liaising with the external I.T consultants.
Carry out any other projects or duties that may be required by the Compliance and Operations Manager and Partners.

Knowledge of the back office system, Financial Services products is essential.
