Venrec are recruiting on behalf of our client for a Fleet Administrator to join their busy Transport company based in Teynham, Kent
This role is Wednesday to Saturday 06:00 to 18:00 and the salary for this position is £25,000
The main responsibilities:
• Support the Central Fleet team with service schedules as required
• Complete daily and live entry of all defects and job cards both for local technicians ad maintenance providers
• Check invoices in order to ensure that all necessary requirements are met prior to approval for signing
• Completing daily administration of any breakdowns and liaise with the relevant rental companies/owners regarding estimated and actual return times for breakdowns and monitor all related turnaround times
• Ensure adherence to all Clients compliance procedures regarding Fleet filing, administration, ensuring that all vehicle and trailer files are kept up to date and all service sheets followed up from off-site providers and scanned within agreed timeframes
• Monitor the Driver Check Sheet process ensuring that all defects are recorded correctly on the Smart POD app and / or paperwork as per the process.
• Produce vehicle and trailer damage reports and summarise, identify trends and report to Fleet Manager / Operations
• Monitor weekly trailer service schedule and advise Ops team on a daily basis which trailers need to be taken out of service.
• Raise recharges for authorised maintenance work carried out by internal fitters and damage repairs to subcontractors where identified.
• Ensure the Company Breakdown fleet List is kept up to date and issued to Tyre provider and Breakdown management company
• Undertake general filing / administration duties as and when required
Job Purpose:
• To provide a professional and pro-active service regarding Fleet requirements / administration.
• To ensure accurate records are maintained, and reports provided, in line with all legal, compliance requirements and Fleet procurement.
• To deal with all issues and requests in relation to fleet administration in a timely and efficient manner.
The successful candidate will have the following skills and experience:
• Previous administrative experience
• Someone with a can-do attitude
• Able to work in a busy environment
• Previous experience working in a Transport Admin role would be desirable but this is not essential
