We are currently recruiting for a Shipping and Logistics Assistant to join our busy team who will assist in ensuring that all export and import shipments are conducted in a timely manner in order to meet contracted timescales with the correct documentation in place to meet contracted requirements and export regulations. We would consider applicants who do not meet our minimum experience requirements, but show a willingness to learn and develop their knowledge in this area.


Key Accountabilities


Liaise with Stores to ensure export shipments proceed on time and in accordance with customer and Field Services requirements.
Ensure within the limitations of the industry that carriers arrive at their allotted time and with the appropriate vehicle or container to allow staff to load equipment in a safe manner and; where possible; within business hours.
Ensure that collections are in line with production schedule and overdue packed shipments are expedited.
Prepare all necessary shipping documents to include, but not limited to Commercial/Pro Forma Invoices, Packing Lists, and Freight Forwarder/Carrier instructions and provide instructions for Import clearances accurately in line with customer contract requirements.
Liaise with Freight Forwarders, Carriers, Couriers and others.
Obtain quotations for suitable shipping containers and vehicles as required. Ensure invoices received are authorised in line with quotation.
Ensure prompt receipt of copy Customs Entries and check for accuracy.
Liaise with Trade Compliance to ensure correct licences are used for Exports and that documentation and shipping complies with requirements of Letters of Credit; if any; and that correct CPC codes are used – especially with respect to IPR imports and exports.
Provide full sets of documents after completion for both imports and exports to the Trade Compliance Administrator.
Any ad hoc duties as and when required by the Company.

Strong oral and written communication skills.

Proficient in Microsoft Office suite with experience of creating shipping documentation.
